Medical Certificate Validation

What are the requirements for validating an employee’s medical certificate for sick leave? Who is responsible for verifying the authenticity of submitted medical certificates?

To ensure the legitimacy of medical certificates submitted for sick leave, the following process and responsibilities are in place:

Requirements for Validation:
- Employees must submit a valid medical certificate when requesting sick leave. The certificate should clearly indicate the diagnosis (if applicable), date(s) of consultation, and the recommended period of rest.

Validation Process:
- All medical certificates are to be sent to the Occupational Safety and Health (OSH) team via pme@kmc.solutions. The OSH team will validate the documents within a 24-hour turnaround time.

Responsibility for Verification:

  • OCM (Onboarding and Contract Management) handles validation for:

    • Employees prior to their start date

    • Hires under an approved undertaking agreement

  • HR is responsible for validating medical certificates submitted after the employee's start date and those that are non-onboarding related.
